Introduction

Gia is an AI assistant inside GydeOS that helps brokers get fast, relevant answers to questions about carriers, benefits, clients, plans, and terminology. Ask Gia is a productivity tool, not a substitute for professional judgement or verification.

This article explains how to use Gia responsibly and how it should fit into your workflow.


Gia Is a Support Tool, Not the Final Authority

Ask Gia is intended to help surface relevant information from client records and plan documents, but brokers remain responsible for the guidance they provide to clients.

When using Ask Gia, brokers should continue to:

  • Apply professional judgment in all client communications

  • Verify important plan details using official carrier documentation

  • Avoid treating Gia's responses as guarantees of information


Use Gia to Inform conversations, Not Replace Them

Gia is designed to assist brokers during live client interactions by making it easier to find and explain information.

Responses should be used to support client conversations, but brokers should always ensure that explanations are accurate, appropriately framed, and compliant with applicable requirements.


Data Privacy and Access Controls

GydeOS enforces strict access controls for Ask Gia conversations and client information.

  • Brokers can only view Ask Gia conversations and client data for clients assigned to them

  • Agency principals and admins can view Ask Gia activity for their clients and any downline brokers they oversee

  • No external users or vendors have access to client Ask Gia conversations or activity

These controls help keep client data secure and limited to appropriate agency users.


Information Entered Into Ask Gia Is Not Saved to the Client Profile

Ask Gia uses the client and plan information already available in GydeOS to answer questions.

If you share additional contextual details in an Ask Gia conversation to get a better answer, that information is used only for that response and is not automatically saved back to the client profile as structured data.

If a client record needs to be updated (for example, contact information), please update it directly in GydeOS or contact Gyde support for help.
