Managing Your Calendar in GydeOS

How to view meetings, adjust your availability, and keep your calendar connection healthy.


Overview

Your calendar connection is what lets Gia schedule client meetings on your behalf — checking your availability in real time so clients are never double-booked. The Calendar page in GydeOS has two tabs: Meetings, where you can see all upcoming and past appointments, and My Settings, where you control your availability and meeting preferences.


Viewing Your Meetings

The Meetings tab shows all client appointments, grouped into Upcoming Meetings (today or later) and Past Meetings. Each entry displays:

  • Client name (links to their client detail page)

  • Meeting status: Scheduled, Cancelled, or Rescheduled

  • Date, time, and duration

  • Campaign type and line of business

  • A link to open the event directly in your Google or Outlook calendar

You can filter by broker (if you manage a team), client name, or campaign.

To make changes to a scheduled meeting, reach out to your client directly or modify the event in your connected calendar. Cancelling or rescheduling from within GydeOS is not available in the portal — Gia handles those actions automatically when a client requests a change during a conversation.


Setting Your Availability

Under the My Settings tab, the Availability section controls when clients can be booked. You can enable or disable individual days of the week and set one or more time blocks per day (for example, 9:00 am–12:00 pm and 1:00 pm–5:00 pm).

Time options run from 6:00 am to 10:30 pm in 30-minute increments. Overlapping blocks on the same day are not allowed. A Reset to default button restores Monday–Friday, 9:00 am–5:00 pm.


Meeting Settings

The Meeting settings section controls how appointment slots are structured:

  • Duration — how long each appointment is (15, 30, 45, 60, 90, or 120 minutes). Defaults to 60 minutes.

  • Buffer before / Buffer after — blocks time on your calendar before or after each meeting (0, 5, 10, 15, or 30 minutes) so you have time to prepare or wrap up.

  • Interval — how frequently available slots are offered to clients (for example, every 15 or 30 minutes).

  • Round to — rounds slot start times to a consistent interval so appointments always start on the hour or half-hour, for example.

Note: cross-sell follow-up meetings are always 30 minutes, regardless of your duration setting.


Line-of-Business Booking Windows

The LOB time blocks section lets you set custom date ranges during which clients can book renewal meetings for each line of business (Medicare Advantage, ACA, Small Group, and Large Group). If you leave a line of business without a custom window, the system falls back to the platform-wide enrollment period for that line.


How Double-Booking Is Prevented

Before any meeting is created, GydeOS checks your primary calendar's availability in real time. If you're already booked for the requested time, the scheduling attempt is rejected automatically — no action is needed on your part. This check runs every time a meeting is initiated, whether by Gia during a client conversation or through any other workflow.


Reconnecting Your Calendar

If your calendar connection breaks — for example, after a password change or a revoked permission — GydeOS will show an alert in the My Settings tab and Gia will be unable to schedule meetings on your behalf until reconnected.

To reconnect:

  1. Go to the Calendar page and open the My Settings tab.

  2. Click Reconnect (or Connect your calendar if no account is shown).

  3. Complete the sign-in flow for your Google or Microsoft account.

Reconnecting replaces the previous connection entirely — no prior meeting data is affected. If the issue persists, contact Gyde Support.
