How to Adjust Your Meeting Settings Configurations

Update your meeting preferences, calendar settings, and availability.

Introduction:

You can customize your meeting settings in GydeOS to control how your calendar behaves for specific campaigns, brokers, or clients. This includes meeting durations, intervals, buffers, LOB time blocks, and open hours. Follow these steps to update your settings:


Meeting Settings Page Overview (Terms)

Before you update your meeting settings, here’s a quick overview of what each section on the My Settings tab controls.

Connect calendar

This section shows the calendar email connected to GydeOS. Gyde uses this calendar connection to display your availability and schedule client meetings.

Meeting settings

These settings control how client appointments are scheduled on your calendar:

  • Duration
    Sets the length of each meeting.

  • Interval
    Controls how frequently available meeting time slots are checked.

  • Round To
    Adjusts the exact start time of each meeting slot (for example, rounding start times to the nearest 15 minutes).

  • Buffer Before
    Adds protected time before each meeting to prevent back-to-back scheduling.

  • Buffer After
    Adds protected time after each meeting to allow time for notes, follow-ups, or breaks.

LOB time blocks

LOB time blocks control when clients are able to book meetings based on their line of business. This helps ensure appointments are only available during the appropriate enrollment window (such as Medicare Advantage or Individual & Family Plans).

Open hours

Open hours define your general weekly availability, such as what days and times clients can book appointments with you.

GydeOS uses these hours to determine which meeting time slots are available for scheduling.


Step-by-Step Instructions

Step 1: Log in to GydeOS

Enter your log-in credentials to access your account and open the GydeOS platform.

Step 2: Navigate to the Meetings page

From the left-hand side navigations panel, select the Meetings tab. You will see a page displaying your Past and Upcoming meetings.

Step 3: Select the My Settings pane

Near the top of the page, select the My Settings pane.

On the My Settings page, you’ll see:

  • Any email addresses connected to your calendar

  • Meeting settings: Duration, Interval, Round To, Buffer Before, Buffer After

  • LOB time blocks

  • Open hours

Step 3: Click Edit in the section you want to update

To make changes, select the Edit option in any of the section headers.

Step 4: Update the fields

Update the fields as needed on the page that appears.

Step 5: Save your changes

Once you have edited the fields you wish to update, click Save Changes near the bottom of the section to save your changes.


Reset Your Settings

If you want to revert your meeting configurations back to the original default values for the LOB time blocks or Open hours sections.

Step 1: Click Edit in the section you want to update

To be able to view , select the Edit option in either of the LOB time blocks or Open hours section headers.

Step 2: Click Reset to default settings

Within either of these two sections, you will see a Reset to default settings option. Clicking this button will reset the fields in this section to their default values.

Step 3: Save your changes

Scroll to the bottom of this section to a Save changes button. Click this to save your changes of resetting these section settings back to default.

Note: This action cannot be undone. Make sure you want to reset before confirming.


You’ve successfully updated your meeting configurations. Your changes will now be applied to your calendar, ensuring your meetings, availability, and scheduling preferences are up to date.
